# What is the card on file reminder?

Card on file reminder is an optional add-on to [card on file](./card-on-file).

When Effra receives an invoice for an insurance appointment for a patient, we submit the claim to the insurer as normal. We also check whether that patient has a card on file.

* **If they do not have a card on file**, we email the patient straight away to ask them to add one. We can **bcc your team** on that email so you can pause further treatment until the card is added, or follow up with the patient in another way.
* **If they have another insurance appointment and still no card on file**, we send the same reminder again the next time we receive an invoice for them.

## Email sent to patients

Patients receive an email in the following form (placeholders are filled with the patient’s name, your practice name, and their personal link to add a card).

  As part of your registration with \[clinic], we kindly ask that you provide your card details to be held securely on file.

  This helps us manage appointments smoothly, collect any excess or other shortfall payments for your appointments and apply our late cancellation and non-attendance policy where necessary.

  Please add your card details using the link below. If your details are not added, all future scheduled appointments may be paused until this information is provided.

  For security you will be asked to confirm your date of birth before continuing. Your details will be stored securely and handled in line with our data protection standards.
